Adding media

Experience Workspace allows you to upload media (images, pdfs, videos) directly without having to use an external service but also offers rich integration into AEM Assets and Dynamic Media to serve your curated brand content.

Overview

Experience Workspace offers two modes of working when adding media.

• AEM Assets - You can store your media in AEM Assets. This is great for highly curated and re-used content.
• Upload to document - If you do not use AEM Assets, you can upload your media to Experience Workspace directly. Images will be saved to a hidden folder (dotfolder) of the same name and level as the document you are editing.

Adding media from AEM Assets

To use AEM Assets or Dynamic Media with Experience Workspace, your administrator must first enable the AEM Assets integration. Once enabled, you can add content from AEM Assets.

1. Edit the document to which you want to add media from AEM assets.
2. Position the cursor to where you wish to insert the media.
3. Click the AEM Assets image icon on the edit toolbar.
4. A modal window opens to AEM Assets.
5. Select the asset you want, and it will import into your document.

Note that the asset must be accessible to Experience Workspace and Edge Delivery Services in order to use it:

• The asset must be published in AEM.
• If using Dynamic Media delivery, the asset must be approved, and its activation target (if present) must be set to delivery.

Adding media to the document

If you do not use AEM Assets, you can upload media directly to the document.

1. Edit the document to which you want to add media from AEM assets.
2. Position the cursor to where you wish to insert the media.
3. Click the Add image icon on the edit toolbar.
4. A file selection dialog opens. Select the media asset you wish to use and click Open.
5. The file is inserted into your document.

All assets you upload to the document are stored in a hidden folder (dotfolder) parallel to the document. For example, if you upload an image called image.jpg to your index document:

1. Experience workspace creates a new folder called .index alongside the index document.
2. The image.jpg file is uploaded to .index
3. The document index references the file .index/image.jpg file.

Supported media types

Experience Workspace supports the following media types:

• JPG
• PNG
• GIF
• SVG
• PDF
• MP4

Note: Please consult AEM Edge Delivery limits to understand limits around file sizes and bit rates that can be delivered using Edge Delivery Services.

Handling content migrations

Because Experience Workspace simply references media, it is possible to do bulk content migrations. This could be anything from changing the source image in place to using search & replace to change a file name. Please consider the following when making these types of changes:

1. All changes in bulk still require a re-preview of the consuming docs so Edge Delivery Services can re-process the changed media.
2. Please note any cache constraints if changing content in AEM Assets. Ensure that you can see the changes in your publish environment before asking Edge Delivery Services to re-preview your content.
